Privacy policy

This policy concerns the Mars Outpost Social Publisher application — our internal tool for publishing approved content to our own Meta (Facebook and Instagram) business accounts — and the enquiries people make to us in connection with it. It is written for people who contact us and for the authorised staff who use the application. 1. Who we are

Mars Outpost Limited (company number 13867876), whose registered office is at 118 Gorse Hill, Bristol, England, BS16 4PJ, operates the Mars Outpost website and the internal Mars Outpost Social Publisher application. The application is a private business tool used by authorised Mars Outpost staff to publish approved content to the Mars Outpost Facebook Page and the linked Mars Outpost Instagram professional account. It does not offer public account registration or a consumer login.

2. Scope of this policy

This policy covers authorised staff who use Mars Outpost Social Publisher, information processed when the application connects to Mars Outpost's own Facebook Page and linked Instagram professional account, and people who contact Mars Outpost about the application or content published through it.

Mars Outpost Social Publisher is not offered as a public social-networking or account-registration service. It is used only to manage our own business accounts.

3. Information we may process

In connection with this system we may process:

  • Meta account, Page and Instagram professional-account identifiers;
  • Page and account names, used to select the correct Mars Outpost business assets;
  • the permissions granted to the application;
  • captions, images and other content that has been approved and submitted for publication;
  • Meta publication IDs, status information and public post links;
  • approval and audit records showing who approved a publication and when;
  • technical logs needed to diagnose errors, prevent duplicate posts and protect the service;
  • business contact details supplied when someone contacts Mars Outpost.

To connect to Meta, the application may process access tokens. These are stored securely and are never intentionally displayed on public pages or included in social content.

4. How we use the information

We use this information to:

  • connect to the correct Mars Outpost Facebook and Instagram business assets;
  • publish content that has been reviewed and approved;
  • confirm whether a publication succeeded;
  • prevent accidental duplicate publication;
  • maintain an internal approval and audit record;
  • diagnose technical faults;
  • respond to enquiries and data-rights requests;
  • meet applicable legal obligations.

5. Lawful basis

Mars Outpost processes information where it is necessary for our legitimate business operations, to manage our own authorised business accounts, and to respond to requests we receive. We also process information where we need to in order to meet our legal obligations.

6. Sharing and service providers

Relevant information may be processed by:

  • Meta Platforms and its associated Facebook and Instagram services;
  • Shopify, which provides the website and e-commerce hosting platform for Mars Outpost;
  • the email and other technical service providers we use to operate the business;
  • professional advisers or authorities, where disclosure is legally required.

Mars Outpost does not sell personal information. We do not use information obtained through the application to build advertising profiles for unrelated third parties.

7. International processing

Meta, Shopify and some of our other technical providers may process information outside the United Kingdom. Where information is processed internationally, Mars Outpost takes the steps required under applicable UK data-protection law and considers the contractual and organisational safeguards provided by the relevant service provider.

8. Retention

We keep information only for as long as it is needed for the purpose it was collected for, including security, keeping evidence of approvals, troubleshooting and meeting legal obligations. Access tokens are kept only while they are required, and may expire or be revoked.

9. Security

We use reasonable organisational and technical measures to restrict access to authorised people and to protect credentials and records.

10. Your rights

Under UK data-protection law you may have rights over your information, including access, correction, deletion, restriction, objection and data portability, where those rights apply.

To make a request, email info@marsoutpost.net. We may need to verify your identity, or your authority to act, before we respond.

You also have the right to complain to the UK Information Commissioner's Office. You can do so at https://ico.org.uk/make-a-complaint/.

11. Meta controls

You can review or remove an app connection through your Facebook or Meta settings. Depending on your account, the relevant section may be called "Apps and websites" or "Business integrations", and Meta may change the exact wording or location of these controls.

Removing the connection stops future access through that connection, but it does not necessarily delete content that has already been published to a Facebook Page or Instagram account. For more on requesting deletion, see our Meta app data deletion page.

12. Changes to this policy

We may update this policy when the website, the application or legal requirements change. The "Last updated" date at the top shows when the wording was last revised.
